How can names stay consistent across translated documents?

Names of people, institutions, employers and addresses should be consistent across an application. Provide passport spellings, previously submitted material or recipient-prescribed forms before translation begins.

Create a name reference

List source names, established Latin-script spellings and name order. Former names, maiden names and name changes should follow the documents, not be erased for apparent consistency. Check recipient requirements before adding explanatory notes.

Distinguish historic and current names

An institution’s name on a certificate normally needs to reflect the document as issued. A later merger or name change should not silently replace the original. Any requested explanation should be distinguishable from the translation itself.

Check key fields across the set

Compare dates of birth, document numbers, qualifications and places across the set. Inconsistencies between originals should be referred to the applicant rather than corrected by the translator to make the documents match.

A checklist for your brief

  • Passport name spelling
  • Previously submitted translations
  • Written recipient instructions

A common question

Can an error in the original simply be corrected?

Not silently. Check the original and the recipient’s requirements, then determine whether the issuer should correct the document or an appropriate note is needed.
