DEFINE THE SCOPE AROUND THE DOCUMENT PURPOSE

Identity card translation

Identity card translation distinguishes holder details from issue information, with both sides needed for a complete record. We check names, sex, ethnicity, birth date, address and citizen identity number, and handle issuing authority and validity separately, retaining historical addresses and any stated long-term validity wording.

Start with the purpose and scope

Supporting identity records

We compare names and numbers with passports, household registers and other records to identify the holder without using translation to correct differences between sources.

Checking form details

We map card fields clearly for preparing personal forms, distinguishing the recorded address from a separately requested contact address.

Organizing historical cards

For old and new cards, we identify each validity period and issuer, retaining earlier addresses and fields without combining them into one current document.

Which pages and files should you prepare?

Material scope and checks
MaterialScope to confirmPreparation and checks
Front and back of the identity cardSupply complete color images of both sides of the same card.Show corners and edges and avoid glare over numbers or validity dates.
Name spelling referenceProvide the spelling used on a passport or existing English identity record.Clarify established spellings for polyphonic characters, compound surnames and name order.
Address name referenceSupply established English names for streets, residential complexes or institutional housing.References must match the card address rather than replace it with a current residence.
Notes on old and new cardsFor multiple versions, identify the intended use and the card to be translated.Check that the two sides belong together and do not mix validity periods.

Review focused on the document details

Digit-by-digit number review

We check each character of the citizen identity number, including any final letter. Unclear digits require a clearer image rather than inference from birth dates or number patterns; concealed digits are not reconstructed.

Complete address structure

We check administrative divisions, streets, buildings and unit numbers in source order. Historical place names remain as recorded and are not replaced with current divisions or supplemented with unlisted postal codes.

Issuer and validity

We check the authority, validity start and end dates separately and preserve non-date wording such as long-term validity. These fields reflect the card text rather than an assessment of its current status from an image or translation date.

Name and personal fields

We check names, birth dates, sex and ethnicity, keeping ethnicity distinct from nationality. Passport spellings guide consistency but do not justify changing the card's name or adding an unrecorded nationality statement.

Agree the deliverables before work begins

Electronic translation

Agree PDF, Word, Excel or other formats, editability, page order and file naming. Confirm any page-by-page source correspondence before work starts.

Statements, signatures and stamps

If the recipient requires a translator statement, signature, contact details, stamp or a particular qualification, share the checklist first so the supporting set and responsible provider can be checked.

Paper copies and shipping

Agree copies, binding, source-reference pages, address and shipping milestones. Translation, supporting formalities and transit are planned separately.

Translation, notarisation, Apostille and consular legalisation are distinct stages. Check the recipient checklist to establish which stages and document combinations are needed for the intended submission.

Deliver against the list and consolidate feedback; assess new source versions or added files separately.

Questions before you commission the work

Is the photo side enough?

The photo side does not normally contain all issue and validity details. Provide the other side for a complete translation. If a limited extract is appropriate, agree its scope and identify it as partial rather than filling absent fields from a standard template.

Should ethnicity be translated as nationality?

The ethnicity field should retain its meaning rather than become a nationality statement. We use suitable and consistent ethnic group terminology. A separate nationality field on a form should be completed using the relevant instructions and evidence.

Can parts of a long address be omitted?

A full translation retains the recorded divisions, street numbers and unit details, using line breaks for clarity. A shortened form for a character-limited system can be prepared separately and should remain distinguishable from the complete card translation.

Can an image with masking or a watermark be translated?

We first check whether the watermark or masking obscures names, numbers, addresses or dates. Legible content can be translated, but hidden text is not guessed. Provide a clear version suitable for the purpose and any recipient instructions concerning redacted documents.
