DEFINE THE SCOPE AROUND THE DOCUMENT PURPOSE

Passport translation

Passport translation starts with the data page and can include endorsements, observations or other record pages as required. We check holder names, passport numbers, birth details, issuer and validity, distinguish visible text from machine-readable characters, and preserve page-specific information without inferring status from visas or travel stamps.

Start with the purpose and scope

Matching identity documents

Passport details help align spellings and birth information across translations, with surnames and given names clearly distinguished to reduce ambiguity.

Translating selected pages

We identify the content and original page numbers of selected data, observation or endorsement pages rather than presenting them as a full passport translation.

Organizing old and new passports

We record each passport number and validity period separately and check any replacement notes without inferring undocumented links between numbers.

Review focused on the document details

Name structure and characters

We check surnames, given names, spaces and hyphens against visible fields. Formatting characters in the machine-readable zone are not automatically treated as part of a name or used to reorder it.

Numbers and date fields

We check passport numbers and issue, expiry and birth dates field by field. Similar-looking letters and digits require a clear source rather than copying another document or guessing from machine-readable text.

Places and issuing authority

We distinguish birthplace, place of issue, nationality and issuing authority. Broad place descriptions are not supplemented with hospitals, cities or districts, and issue locations are not presented as residential addresses.

Page references and record scope

We identify pages and readable wording for endorsements, observations and stamps, retaining conditions and dates. Historical entries are translated without inferring actual stays, current permissions or later approval outcomes.

Agree the deliverables before work begins

Electronic translation

Agree PDF, Word, Excel or other formats, editability, page order and file naming. Confirm any page-by-page source correspondence before work starts.

Statements, signatures and stamps

If the recipient requires a translator statement, signature, contact details, stamp or a particular qualification, share the checklist first so the supporting set and responsible provider can be checked.

Paper copies and shipping

Agree copies, binding, source-reference pages, address and shipping milestones. Translation, supporting formalities and transit are planned separately.

Translation, notarisation, Apostille and consular legalisation are distinct stages. Check the recipient checklist to establish which stages and document combinations are needed for the intended submission.

Questions before you commission the work

What might need translating if the passport already contains English?

Check whether the recipient requires another language, observations or non-English stamps. Existing English may not cover every page, while a full duplicate translation may be unnecessary. The selected pages define the scope and how existing bilingual fields are handled.

Must the machine-readable zone be translated character by character?

The machine-readable zone contains structured characters and is distinguished from visible names and numbers. Its inclusion depends on the agreed scope and recipient instructions. Filler characters, abbreviations and check characters are not expanded into assumed personal details or substituted for unclear fields.

Can an old passport number be replaced with the new number?

Each translation retains that passport's own number and issue details. A recorded old number or replacement link can be translated, but a link is not added simply because the holder is the same. Old and new passports can be organized together while remaining separate records.

Can an unclear travel stamp be reconstructed from dates?

Stamp wording is not reconstructed from itineraries, nearby stamps or memory. Supply a clear full-page image and close-up; any remaining illegible text is identified. A separate itinerary can provide context but does not replace the visible record or establish new travel findings.
