Start with the purpose and scope
Instructions supplied with a product
Follow the source sections for unpacking, installation and use, aligning component and button names and checking steps and conditions to help readers understand the operations.
Supporting technical service materials
Align wording across manuals, fault-code lists and maintenance guidance. Distinguish symptoms from corrective actions so the same message remains consistent across support materials.
Updating models and firmware versions
Update wording using confirmed model and firmware changes. Flag new menus, parameters and references to prevent outdated feature instructions from remaining in the revised manual.
Which pages and files should you prepare?
| Material | Scope to confirm | Preparation and checks |
|---|---|---|
| Manual source and model list | Provide the complete source, file version and applicable models, identifying shared and model-specific sections. | Check model identifiers on the cover, in specifications and in attachments, and confirm the technical version for this work. |
| Component terminology and interface text | Provide component terminology, menu and button text, and any target-language labels already confirmed by the company. | Distinguish text actually displayed in the interface from explanatory descriptions, and identify codes that should remain unchanged. |
| Warnings, parameters and technical query references | Provide source warnings, specification tables, unit explanations and a contact who can confirm technical queries. | Check symbols for temperature, pressure and electrical values; the company clarifies ambiguous instructions first. |
| Reference indexes and text delivery format | Provide existing figure, table and section indexes, and agree on a bilingual comparison or text format for layout. | Check cross-references and text-length requirements; this scope covers text and its existing reference relationships. |
Review focused on the document details
Operating steps and action objects
Check each action, its object, sequence and prerequisites, distinguishing operations such as pressing, holding and releasing. Raise technical queries where the source omits an essential object or condition instead of adding steps based on experience with similar products.
Warning hierarchy and negative wording
Retain warning headings, prohibitions and conditions, checking that negatives apply to the intended actions. Identify inconsistent risk-related wording for confirmation by the company's technical staff, without weakening its tone or removing content independently.
Parameter symbols and model applicability
Check range symbols, units, decimal points and model suffixes, preserving separate parameter entries for different models. Verify source labels for optional features and applicability so a configuration for one model is not presented as applying to the entire range.
Interface names and reference consistency
Align menu, button and message wording with the interface text confirmed by the company, and check section, figure and table references. Before delivery, compare the revision list against every occurrence to ensure old feature names do not remain in related instructions.
Agree the deliverables before work begins
Electronic translation
Agree PDF, Word, Excel or other formats, editability, page order and file naming. Confirm any page-by-page source correspondence before work starts.
Statements, signatures and stamps
If the recipient requires a translator statement, signature, contact details, stamp or a particular qualification, share the checklist first so the supporting set and responsible provider can be checked.
Paper copies and shipping
Agree copies, binding, source-reference pages, address and shipping milestones. Translation, supporting formalities and transit are planned separately.
Translation, notarisation, Apostille and consular legalisation are distinct stages. Check the recipient checklist to establish which stages and document combinations are needed for the intended submission.
Check credentials and document quality
See the company profile for SENIOR TRANS credential and association information. Check the holder, scope and statements or supporting work needed for this assignment before engagement.
View professional credentialsA clear path from files to feedback
Describe the files
Provide clear files or a redacted sample, with languages, purpose, volume and timing.
Agree the scope
Confirm main text and annexes, review, formats, supporting work, price and delivery.
Translate and review
Check fields, terminology, figures, dates and cross-document relationships.
Deliver and follow up
Deliver against the list and consolidate feedback; assess new source versions or added files separately.
Questions before you commission the work
Can a manual be translated without a physical sample?
Language work can begin using the complete source, specifications and interface text. Actions or components that cannot be identified from those materials are raised as queries, which the company can resolve with explanations and technical confirmation. The record notes that no sample was examined; text checks are not described as operational testing.
Should every interface label mentioned in the manual be translated?
First confirm the language displayed on the product and the company's interface glossary. If labels remain in the source language, they can be retained with target-language explanations as agreed. Where a localised interface exists, the manual should match it. Confirm codes and abbreviations individually so the wording corresponds to the buttons users see.
Can unclear safety or operating instructions be corrected during translation?
We identify unclear references, contradictory sequences and missing conditions and submit them in a query list. Changes affecting technical meaning or warnings should first be confirmed in the source by the company's relevant staff. The translation then follows the confirmed wording, without independently adding or removing warnings or guessing the correct operation.
Can several similar models share one translated manual?
Provide a model comparison table and confirm which sections are shared and which require separate instructions. We check parameters, optional features, button names and references and organise the text accordingly. The company determines whether a shared manual is appropriate and defines its scope; similar models are not assumed to be identical.
Describe the documents and request a quote
Share the languages, volume, purpose and preferred timing to confirm the scope, price and delivery. Complete files can follow once the transfer method is agreed.
