Start with the purpose and scope
Communicating governance documents
Retain chapter and clause numbers and align organisational titles so shareholders and partner teams working in different languages can locate and discuss the source text accurately.
Reading support for transaction materials
Check names and dates across the articles, shareholder lists and attachments. Record queries about contribution and voting terminology to provide consistent wording for document review.
Comparing amendments to the articles
Record added, deleted and relocated clauses individually, distinguishing source changes from terminology alignment. Retain sources and dates so the company can confirm updates.
Which pages and files should you prepare?
| Material | Scope to confirm | Preparation and checks |
|---|---|---|
| The complete articles selected for translation | Provide the cover, full text, signature pages and schedules forming part of the document, preferably with an editable file. | Check the contents list, page sequence and final clause to confirm that no pages are missing. |
| Amendments and version notes | For version comparison, provide the previous articles, amendments and the translation scope confirmed by the company. | Distinguish standalone amendments from consolidated text; do not incorporate unconfirmed changes into the body. |
| Shareholder and governance terminology list | List existing target-language names for shareholders, directors and relevant bodies, with formal documents available as references. | Check personal and entity names, distinguishing the name of a body from the individuals serving on it. |
| Contribution schedules and delivery annotations | Provide complete schedules of amounts, percentages and contribution methods, and specify whether tracked changes are needed. | Confirm currencies, units and decimal conventions, and agree on bilingual clause layout and version naming. |
Review focused on the document details
Clause numbering and cross-references
Map chapter, article, paragraph and list numbering at each level, and check that referenced provisions exist. When clauses are amended or moved, review affected references. Record source numbering anomalies and ask the client to confirm them.
Titles of bodies and responsibility wording
Use consistent names for shareholder meetings, the board and other bodies, distinguishing organisations from office holders. Check the rendering of powers, conditions and negative wording, without assuming that similar target-language terms have identical meanings.
Contribution amounts and voting percentages
Compare contributors, amounts, currencies, percentages and time expressions item by item, checking consistency between the body and schedules. Flag conflicting figures or questionable percentages, preserve the source information and refer the issue to the company.
Amendment boundaries and consistency
Record additions and deletions against the confirmed amendment scope, and check that unchanged passages retain consistent translations. Clearly identify consolidated text and amendment comparison copies at delivery so each file's purpose and source can be traced.
Agree the deliverables before work begins
Electronic translation
Agree PDF, Word, Excel or other formats, editability, page order and file naming. Confirm any page-by-page source correspondence before work starts.
Statements, signatures and stamps
If the recipient requires a translator statement, signature, contact details, stamp or a particular qualification, share the checklist first so the supporting set and responsible provider can be checked.
Paper copies and shipping
Agree copies, binding, source-reference pages, address and shipping milestones. Translation, supporting formalities and transit are planned separately.
Translation, notarisation, Apostille and consular legalisation are distinct stages. Check the recipient checklist to establish which stages and document combinations are needed for the intended submission.
Check credentials and document quality
See the company profile for SENIOR TRANS credential and association information. Check the holder, scope and statements or supporting work needed for this assignment before engagement.

Questions before you commission the work
Can you translate a standalone amendment?
We can translate the amendment within an agreed scope and retain its clause references. To check how it fits into the full text, please provide the relevant version of the articles. Without complete source material, we identify the limits of the comparison and do not reconstruct earlier or revised clauses or prepare a consolidated text by assumption.
Can governance titles be copied from a foreign company's articles?
The wording should be based on the body's source title, context and the company's established terminology. Similar target-language titles in different documents may not mean the same thing. We create a terminology list and record questions, seeking confirmation from the company's relevant specialists when needed instead of substituting titles merely because they look similar.
Can you provide a clause-by-clause bilingual version?
A side-by-side or alternating bilingual layout can be prepared, retaining clause numbers and schedule references. Before work begins, confirm the source version and paragraph alignment. For long clauses, we prioritise clear reference relationships and check that headings, numbering and continued paragraphs remain easy to locate after page breaks.
What happens if the body and contribution schedule contain different figures?
We record the wording and discrepancy at both locations and raise a specific query with the company. We do not calculate a replacement and alter one figure ourselves. Related translations are updated after the company confirms the source wording. If the discrepancy remains, it is documented in the agreed query record for later reference.
